Job Description: The Appointment Executive is responsible for managing and coordinating appointments, ensuring smooth scheduling, and providing excellent service to clients and internal stakeholders. This role requires strong organizational skills, attention to detail, and effective communication to maximize efficiency and maintain client satisfaction.

  1. Appointment Scheduling:
    • Schedule, reschedule, and cancel appointments for clients, staff, or executives using scheduling tools or software.
    • Manage calendar updates and avoid overlaps or conflicts in scheduling.
  2. Client Interaction:
    • Communicate with clients via phone, email, or messaging platforms to confirm, remind, or update them about appointments.
    • Address client queries and provide accurate information regarding appointment details.
  3. Coordination:
    • Collaborate with team members to ensure readiness for scheduled appointments.
    • Inform relevant parties about updates or changes to appointments promptly.
  4. Database Management:
    • Maintain and update client or internal records related to appointments.
    • Ensure data accuracy and confidentiality in line with company policies.
  5. Reporting and Feedback:
    • Provide periodic reports on appointment trends, cancellations, and reschedules.
    • Gather feedback from clients or team members to improve the scheduling process.
  6. Administrative Support:
    • Assist with other clerical or administrative duties as required.
    • Support in preparing for appointments, such as organizing materials or coordinating logistics.

Education and Experience:

UG/PG with minimum 1 year of experience in healthcare industry.

Technical Skills:

  • Proficiency in scheduling software (e.g., Microsoft Outlook, Google Calendar, CRM tools).
  • Basic proficiency in Microsoft Office Suite or similar tools.

Soft Skills:

  • Strong organizational and multitasking abilities.
